Megh Technologies developed a Kaizen Application for Arkray Healthcare Ltd. to digitalize and streamline the continuous improvement process across departments. The application captures employee improvement ideas (Kaizens), automates the approval workflow, and tracks implementation outcomes with real-time analytics. The system replaces manual paper-based suggestion forms with a unified digital platform, improving visibility, accountability, and engagement across the organization.

Developed using the PHP CodeIgniter framework, the application is secure, scalable, and designed for enterprise-wide deployment.

Application Details and Features

The KAIZEN system is built to manage the entire life cycle of an improvement idea—from submission to approval, implementation, and reward. Each Kaizen passes through multiple user roles (creator, reviewer, approver, and admin) with transparent status tracking and detailed reporting.

Key Features
  • Kaizen Idea Card: Allows employees to submit their improvement ideas with details such as problem statement, idea of improvement, expected benefits, and attachments (costing or supporting documents).
  • Multi-Level Approval Workflow: Automatically routes submissions through the required chain of reviewers, functional heads, and final approvers.
  • Real-Time Dashboards & Reports: Department-wise, employee-wise, and monthly Kaizen reports with export to Excel options for analysis and presentation.
  • Category & Benefit Tracking: Tracks Kaizens under multiple categories such as Cost Saving, Productivity, Quality Improvement, etc.
  • Return & Feedback Loop: Reviewers can request clarification or additional input before final approval.
  • Completion & Reward Management: Tracks paid/unpaid Kaizens post-approval for HR or finance reconciliation.
  • Monthly Performance Metrics: Department-wise metrics showing number of Kaizens received, employees involved, and Kaizens per person, with graphical visualizations.
  • User Role-Based Access: Ensures different views and permissions for users, functional heads, and administrators.
  • Search & Filter: Powerful filtering by employee, category, department, status, or time period.

Challenge

Arkray Healthcare previously managed its Kaizen process through manual forms and spreadsheets, which led to several operational challenges:
