The situation

The group manages a large and diverse vendor base across multiple entity types and geographies. All KYC compliance ran through email - vendors sent documents as attachments, internal teams reviewed them by hand, queries went back and forth as replies, and renewal deadlines lived in a spreadsheet. When a renewal fell due, it was often noticed only afterwards.

Onboarding that should have taken hours stretched across days. Compliance documents sat in inboxes rather than a structured repository, which is an audit problem waiting to happen. The whole process depended on individual effort and personal memory: no system, no trail, and no automation to catch a gap before it became a finding.

What we built

We built a secure, structured KYC platform that replaced every email in the process. Vendors register on a portal running under the client’s own domain - so nobody is asked to hand statutory documents to an unfamiliar third-party URL - and complete a step-by-step form capturing corporate, financial, banking, and statutory detail, including Ultimate Beneficial Owner data.

A sole proprietor, a partnership, and a listed company do not need the same fields, so the form is built from dynamic modules with repeatable “add more” sections and logic driven by entity type, rather than one long form padded with everything. A vendor can save a draft and come back to it. When the file is complete, a signed declaration is uploaded and the submission moves straight into the internal review queue.

The internal team works from a single dashboard showing new, resubmitted, and pending applications. Reviewers raise queries against specific fields rather than writing an email; the vendor is notified automatically and resubmits with corrections. Once approved, the record locks for a year, and a scheduled job sends renewal reminders before expiry. Every action, approval, and document version is captured in a searchable trail.
